Amount paid

Who can do this: Owner, Admin, Staff

Points normally follow the booked price. If customers often pay more or less (an extra treatment, a product, a discount at the counter), turn on Ask for the amount paid. Points then follow what the customer really paid.

Turn it on

Owners and admins open More → Loyalty → Amount paid and switch on Ask for the amount paid. It saves at once.

On the same page:

• Walk-in limit: the most a visit with no price can be. It starts at RM1,000 and you can raise it up to RM10,000. Tap Save limit.
• Highest amount: the most an amount can be, as a number of times the booked price. Pick 5 times, 10 times, 15 times, 20 times, 25 times or 30 times. It starts at 10 times and saves as soon as you pick. The line under it says, for example, An amount can be up to 10 times the booked price. Staff don’t see this page.
• The line at the bottom says that amounts left empty are confirmed at the booked price after 24 hours.

When you tap Done

With it on, Done opens a sheet instead of the usual question. It names the customer and the visit, for example Done: Aisyah and Haircut · 3:00 PM · Booked RM50.00.

• Type the amount and tap Save: the visit is done and points follow that amount.
• Not sure yet? Tap Skip: the visit is done and its points wait for the amount. The booking’s Loyalty row says Waiting for the amount with about how many points it will earn.
• Close the sheet to leave the booking as it is.

Restaurant tables

At a restaurant, Table free opens the same sheet, so diners earn points on the real bill. It names the diner and the table, for example Table free: Aisyah and Table for 4 · T3 · 7:00 PM. A table has no booked price, so the most you can type is the Walk-in limit. Save or Skip frees the table; there is no second question.

If you tap Skip and nobody types the bill within 24 hours, it is confirmed with no amount: the diner earns only the visit points, if you set any. In Confirm amounts a table’s row says so, for example Aisyah · Table for 4 · T3 · 7:00 PM, then Confirms itself at 7:10 PM tomorrow with no amount (visit points only).

A walk-in table has no customer to earn points, so Table free asks only Is the table free? as before.

An amount above the Highest amount (or, with no booked price, above the Walk-in limit) is refused, for example That’s more than RM500.00. Check the amount. for a RM50.00 visit at 10 times. Fix it and tap Save again.

Add or change an amount later

On a visit done in the last 24 hours, open the booking and look under More:

• Add the amount paid fills in a skipped amount. Anyone who could mark the visit done can do this, staff on their own bookings too. Owners and admins also see it on a visit done while the setting was off.
• Edit amount changes an amount already in. Only owners and admins can do this.

Points change to match. If the customer already used some of the points a lower amount takes away, their balance stops at 0.

Once the amount is in, the Loyalty row says, for example, Paid RM65.00 · Earned 75 points.

Confirm amounts

Confirm amounts lists the visits marked Done without the amount paid, newest first, under Today, Yesterday and earlier days. Owners and admins see every visit; staff see their own.

To open it:

• Today shows a row when any are waiting, for example 3 amounts to confirm. Everyone sees it, staff for their own visits.
• Owners and admins can also use More → Loyalty → Confirm amounts. It shows while Ask for the amount paid is on, with how many are waiting.

The list shows 100 visits at a time. With more waiting, tap Show more at the bottom, and the counts read 100+.

Each row says who, what, when and with whom, for example Aisyah · Haircut · 3:00 PM · Mei, then Booked RM50.00 · Confirms itself at 3:10 PM tomorrow. Tap it, type the amount and tap Save. The row leaves the list.

If someone changed the visit meanwhile, the app says Someone changed this visit. Check it again. and shows the list as it is now. When nothing is waiting, the page says Every amount is in.

Amounts nobody filled in

A skipped amount waits for 24 hours after Done. After that it is confirmed at the booked price by itself and the points land. A table has no booked price, so a skipped table is confirmed with no amount and earns only the visit points.

Owners and admins can get a reminder after closing when amounts are still missing: switch on More → Notifications → Loyalty → Amounts to confirm. It starts off. Tap the notification to open Confirm amounts.

In Reports

Reports gain Booked and paid once amounts come in: the booked and paid totals of those visits, how many had an amount typed and how many were confirmed at the booked price, and the difference, for example Customers paid RM15.00 more than booked.
